ABOUT THE POSITION:

This career position performs responsible clerical and administrative support work in preparing, processing, and tracking grant applications and awards requirements for the Polk State College Foundation.

ESSENTIAL FUNCTIONS/DUTIES:

  • Provides administrative support for a three-person department, including duties such as scheduling meetings, arranging travel, assisting with data collection, and maintaining comprehensive records.
  • Assists the Director to maintain and update information posted on the Grants site on PIE
  • Data tracking - assists the Director to maintain and update information in grants management software if purchased
  • Assists the Grants Coordinator to track and collect monthly time and effort documentation and completion of Personnel Activity Reports as assigned
  • Prepares notes of Grants Committee meeting and other grant-related meetings as assigned.
  • Facilitates routing of grant-related documents for review and signature.
  • Assists the Director to monitor and track proposals in development
  • Assists Director and Grants Coordinator to monitor and track grant-funded project timelines and report due dates.
  • Supports the submission of grant applications and timely grant reporting by gathering required documents and completing grant forms as assigned.

Required Education:

Graduation from a standard high school (or equivalent).

Preferred Education:

Associates or Bachelors Degree from a regionally accredited college or university.


Required Experience:
A minimum of 2 years of related work experience in an administrative or clerical support role is required.

Experience in grant writing, grant administration, or grant program management in higher education or at a non-profit organization is preferred. Experience with federal and/or state grants preferred.
