Position Summary

The Executive Assistant to the VPRI provides confidential, executive-level administrative support and serves as the primary contact for administrative activities and operations within the Office of the Vice President for Research and Innovation and handles all matters related to the Vice President's schedule and activities.

The incumbent is responsible for a broad set of assignments related to the duties of the vice president, which regularly require the ability to exercise independent judgment. The incumbent must possess comprehensive knowledge of the office, its mission, its programs and personnel, and the complex issues that accompany advancing the office's mission as well as that of the university.

The executive support function, in addition to coordinating scheduling, office coverage, and communications, may also include event coordination, project management, and budgeting. The incumbent will demonstrate strong communication, interpersonal, and problem-solving skills and conduct all job duties with high levels of confidentiality, sensitivity, and cultural awareness.

This position will work in a team with other OVPRI executive assistants to provide seamless support to the VPRI and executive leadership team. This position reports directly to the Assistant Vice President and Chief of Staff in OVPRI. This position is located in Eugene but may be eligible for some hybrid work, there is requirement to be on campus at least 4 days a week.

Minimum Requirements

  • Bachelor's Degree OR 5 years of progressively responsible experience supporting leadership in a complex organization.
  • AND 3 years of experience in providing administrative support that includes scheduling to senior executives in a large organization (100+ employees).
  • Commitment to valuing diversity and contributing to an inclusive working and learning environment.

  • Project and operations management and organizational skills.
  • High-level attention to detail and follow-through.
  • Ability to learn and follow processes, plus demonstrated good, independent judgment on when and how to deviate from processes.
  • Strong oral and written communication skills.
  • Ability to draft correspondence on behalf of an executive.
  • Strong customer service and interpersonal skills, including the ability to communicate and work effectively with individuals from diverse backgrounds and cultures.
  • Commitment to promoting an inclusive work environment.
  • Proficiency with software and technology, including electronic calendars, word processing, and spreadsheets.
  • Demonstrated ability to adapt quickly and successfully to changing environments and priorities.

    Preferred Qualifications

  • Professional work experience as an executive assistant in higher education.
  • Experience in a fast-paced higher education or research-intensive environment with responsibility for managing and prioritizing multiple tasks and projects.
  • Experience preparing professional presentation materials using PowerPoint or similar software.
  • Experience with BANNER, Concur and/or similar information system.
