Position Description
Performs routine administrative support or technical program assistance work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

Major/Essential Functions
The College of Media & Communication at Texas Tech University is seeking a full-time Administrative Assistant for External Relations. This position will be responsible with covering the following essential duties:
  • Responsible for primary administrative support for the colleges Development Officer with regard to alumni relations, donor tracking, including contact reports, biographical update information, requesting lists, updating spreadsheets, scheduling meetings, coordinating travel and editing and managing calendars, etc.
  • Establish and build relationships with a wide range of alumni, locally, regionally, and nationally; maintain regular communication with alumni via direct phone, email, alumni web page, and print publications
  • Responsible to handle all correspondence in the area of stewardship to include but not limited to thank you letters, birthday cards, memorandums, donor correspondence, etc. as assigned by the colleges Development Officer
  • Responsible to work with Institutional Advancement to establish new accounts, transmittal forms for deposits and prepare financial reports for the colleges Development Officer
  • Responsible for primary administrative support to the Associate Dean for Undergraduate Affairs with regard to off-campus recruiting to include travel to Red Raider Roadshows as well as presentations to high schools and college fairs, parent/student receptions, etc.
  • Responsible as college liaison for HB5 information related to endorsement areas and career pathways for high school and community college transfer students
  • Oversees content and dissemination of Adviser newsletter and dissemination and admission packets for admitted students
  • Works with the Associate Dean for Undergraduate Affairs to coordinate faculty/staff member travel to out of town events with ample advance notice and communicate travel plans to everyone involved
  • Responsible to maintain travel report information on all off-campus recruiting and provide weekly to the Associate Dean for Undergraduate Affairs
  • Responsible to coordinate with the Recruiting & Student Engagement Coordinator for AIS appointments, minority recruitment strategy, and assist with on-campus recruiting events as available. Also serves as the leader for Transfer Visit Days and University Day
  • Responsible for the coordination and planning of college events that support development and alumni relations efforts
  • Other duties as assigned by the Associate Dean for Undergraduate Affairs and the colleges Development Officer for the smooth operations of the colleges external relations and recruiting efforts as part of the colleges strategic plan and mission


Required Qualifications
Completion of high school or the equivalent. Five years office experience. Additional education may substitute for experience on a year for year basis.

Required Qualifications (Knowledge, Skills, and Abilities)
  • Ability to manage multiple tasks and effectively plan, organize, and prioritize goals
  • Excellent oral and written communication skills
  • Excellent time management skills
  • Excellent working knowledge of MS Office (Word, Excel, Publisher)
  • Ability to maintain positive work relationships and work with a diverse group of faculty, staff, alumni, donors, and students
  • Ability to travel as travel is a required component of this position
Preferred Qualifications
  • Bachelors degree in Public Relations, Advertising, Journalism, Electronic Media & Communication, Communication Studies, Media Strategies, or other Media & Communication related degree
  • Excellent oral presentation skills and ability to interact with and build professional relationships with donors, students, faculty, staff, parents, and administrators
  • Experience presenting information in front of small or large groups
  • Project Management experience
