DEPARTMENT OVERVIEW

The Office of Research supports, oversees, and champions research at the University of California Santa Cruz by providing an effective environment for faculty research in departments, research centers and other programs. The division is responsible for facilitating processes and procedures for acquiring and administering research funding; overseeing compliance of campus research with federal, state, and university regulations; insuring the dissemination of faculty efforts both to the public, through publications, education, and research, and to private industry through technology transfer; and in partnership with the Division of Graduate Studies optimizing the quality of graduate education and research training. The Office of Research collectively promotes the execution of highly technical research activities spanning the entire range of disciplines of the UCSC faculty.

The following units are part of the Office of Research: Office of Sponsored Projects, Office of Research Compliance Administrations, Industry Alliances & Technology Commercialization, Research Development, and Office of Business Administration.

JOB SUMMARY

The team Supervisor supervises a team of Research Administrators within the Office of Sponsored Projects (OSP) working on research proposals according to established policies and management guidance. The Team Supervisor provides priority setting and establishes and coordinates effective workflows.

The Team Supervisor also reviews and interprets terms and conditions and works with OSP colleagues to assess risk and acceptability/compliance within University policies. The incumbent recommends changes to department policies and practices.

The incumbent receives assignments in the form of objectives with goals and the process by which to meet goals. This position uses advanced contracts and grants concepts to manage a high volume of high complexity transactions. The incumbent exercises judgment within defined procedures and policies to determine appropriate action; stays up to date on current UC and Federal policies in sponsored research administration; and Identifies risks and responds accordingly.

Salary Information: Salary Range: $85,900 - $92,000/year. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

50% - Supervision

Supervises small team of staff who are responsible for preparation of contract and grant proposals. Provides guidance and counsel on research administration matters to the team.
Ensures that team operates in compliance with OSP policies, procedures and internal controls. Uses advanced contracts and grants concepts to manage a high volume of complex proposals.
Participates in the selection, compensation, development and evaluation of staff.

25% - Proposal Administration

Actively involved with proposal preparation to meet deadlines and resolve problems: Initiates proposal submission records (Cayuse), assists in budgeting, budget justifications, and other proposal preparation functions.
Supports faculty and researchers with proposal development and supporting documentation (Tables, figures, basic content, Biosketches, Current and Pending, etc.).
Provides guidance regarding sponsored projects as it relates to proposal preparation to faculty and researchers.

20% - Proposal Analysis

Coordinates proposal submission processes with Office of Sponsored Projects, Research Development, University Relations and other external units.
Administratively reviews grant or contract proposals and budgets; obtains / verifies necessary compliance approvals.
Delivers specialized training and / or develops content for education workshops in the area of research proposal administration.

5% - Other

Other special projects as assigned by supervisor.


REQUIRED QUALIFICATIONS

Bachelor's degree in related area and / or equivalent experience / training.
Extensive knowledge of program administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
Proven knowledge and ability to perform review of complex funding solicitations including Requests for Proposals (RFPs) and to analyze, interpret and clearly communicate requirements to faculty, researchers and staff.
Knowledge of and ability to interpret and apply sponsor, institutional and departmental policies. Knowledge of current compliance regulations in research administration.
Ability to manage high volume and complex transactions.
Experience supervising professional staff.
Ability to interpret policy for others.
Knowledge of generally accepted accounting principles and the ability to prepare complex research budgets.
Proficiency with Microsoft Office suite, including ability to create and modify documents in accordance with stated requirements (editing, formatting).
Excellent written communication skills.
Excellent verbal communication skills.
Strong interpersonal skills including customer service and active listening.
Strong organizational skills.
Experience to teach, train, mentor junior staff to continually develop more advanced skills within their current position.

PREFERRED QUALIFICATIONS

Research administration experience in the UC system.
